Terms of Service

These terms are the agreement between you and HOA Basecamp (“we,” “us”) when you use the service at hoabasecamp.com. Read them before signing up. If anything is unclear, email jeff.sanchez987@gmail.com.

Who can use it

HOA Basecamp is built for self-managed condos and homeowner associations. You need to be at least 18 years old to create an account. Communities are added either by signing up directly or by accepting an invite from an existing board member.

Your account

Keep your password to yourself. You're responsible for what happens under your account. If you think someone else has access, change your password and let us know.

Acceptable use

Don't use HOA Basecamp to:

  • Break the law or help someone else break it.
  • Upload malware, viruses, or anything designed to harm the service.
  • Try to access another community's data.
  • Harass, dox, or threaten anyone — your neighbors or otherwise.
  • Reverse-engineer the service, scrape it, or use it to build a competing product.

We may suspend or terminate accounts that violate these rules. If possible, we'll tell you why.

Your content

You own the content you put into HOA Basecamp — budgets, documents, photos, comments, everything. You give us permission to host, store, display, and back up that content so we can run the service. We don't claim ownership and we don't use it to train AI models.

You're responsible for making sure you have the right to share whatever you upload. Don't put someone else's confidential documents into a community library without permission.

Subscriptions and billing

  • HOA Basecamp is sold as an annual subscription, billed once per year to the community.
  • Two tiers: Community ($499/year, 10–25 units) and Community+ ($899/year, 26–50 units).
  • New communities get a 30-day trial. After the trial, the subscription auto-renews each year unless canceled.
  • A board member can cancel at any time through the Customer Portal linked from Settings → Billing. Cancellation takes effect at the end of the current billing period.
  • We don't offer prorated refunds for cancellations mid-cycle. If something goes wrong on our end, email us and we'll figure it out.
  • If a payment fails, the account moves to read-only mode while we retry. If it stays unpaid, the account is eventually locked. The Privacy Policy explains how data is handled in that case.

Service availability

We do our best to keep HOA Basecamp running, but we don't promise zero downtime. Maintenance, third-party outages (Clerk, Supabase, Stripe, Vercel), and bugs all happen. We aim to fix issues quickly and communicate when something is broken.

Changes to the service

We update the product regularly. Most changes add or improve features. If we ever remove a feature you depend on, we'll try to give notice through the dashboard or by email.

Termination

You can stop using the service and cancel your subscription at any time. We may terminate accounts that violate these terms or that are inactive for an extended period after subscription has ended. Either way, the Privacy Policy explains what happens to the data.

Warranties

HOA Basecamp is provided “as is.” We don't make promises that the service will be error-free, uninterrupted, or fit for any specific purpose beyond what's described on the marketing pages. To the fullest extent allowed by law, we disclaim all implied warranties.

Limitation of liability

To the fullest extent allowed by law, HOA Basecamp is not liable for indirect, incidental, special, consequential, or punitive damages, or for any loss of profits or data. Our total liability for any claim related to the service is limited to the amount your community paid us in the twelve months before the claim.

Governing law

These terms are governed by the laws of the State of Illinois, USA, without regard to conflict-of-law rules. Disputes are handled by the state and federal courts in Illinois.

Changes to these terms

If we change these terms, we'll update the “Last updated” date above and, for material changes, notify the email on your account. Continuing to use the service after that means you accept the new version.
